Event Technology & Production

Event Technology & Production oversees the technical infrastructure and live execution for all events, conferences, and meetings facilitated by the Student Union. Each year, our team supports nearly 500 major events and over 4,000 meetings. The Student Union maintains state-of-the-art, purpose-built presentation systems which are continuously updated to meet our customers' modern needs. Our core value lies in our on-site production staff, who manages the full lifecycle of every event's technical execution. Recognizing that technology is often one of the most stressful aspects of an event, our team assumes complete technical ownership so speakers never have to troubleshoot on stage.

Operational Standards & Capabilities

  • Our staff are trained not only in operating facility audio, visual, and lighting systems, but also in diagnosing and resolving operating system display behaviors, signal path errors, and hardware compatibility issues on guest devices.
  • Event production is delivered with an understanding of event dynamics, program flow, and institutional stakes. Production Assistants remain actively engaged throughout the event to manage signal levels, display switching, and environmental controls without interrupting the flow of the event.
  • Event success is built on proactive protocols. Production staff conduct signal path checks, verify primary and secondary redundant systems, and test presenter inputs well before attendees enter the space.
  • When issues do occur, on-site personnel prioritize quick containment. Staff are trained to identify root causes and execute fixes, or deploy redundant backups to minimize any disruption to the flow of the event.

On-Site Event Production

The Student Union features a Theatre, Ballroom, and multi-use event space, room 304. These event spaces feature large screen displays, full-range audio systems, podiums, wireless microphones, as well as conferencing, recording and livestreaming options. The technical production of programs held in event spaces can be supported by dedicated AV Production Assistants, assigned exclusively to the event. Our Production Assistants have extensive event experience and are trained in the operation of AV equipment, as well as troubleshooting common technical issues. To ensure staffing availability, please provide a minimum of 15 business days’ notice prior to your event.
