Event Services

A/V Standard Technician

Please note: You do not need to have prior A/V experience to apply for this job. You DO need to have a willingness and an ability to learn. You will be taught the rest.

Position Overview:

The AV Standard Technician is responsible for setting up, operating and tear down of audio visual equipment for events in and around the Student Union.

General Responsibilities:

  • Set up, run and strike A/V equipment for events and meetings
  • Write and submit technician reports
  • Assist in maintaining equipment and report issues to the A/V Manager
  • Attend mandatory weekly A/V meetings and training sessions
  • Perform related duties as required

Minimum Requirements:

  • Ability to physically lift 50 pounds, and crawl under tables and staging
  • Basic computer knowledge
  • Flexible schedule availability, including nights and weekends

    Event Manager/Ambassador

    Position Overview:

    The Event Manager will provide onsite customer service and support in compliance with all Student Union and related policies and procedures, including but not limited to safety and security, room setups and capacities, equipment management , audio visual (A/V) capabilities, and cue (line) management procedures.

    General Responsibilities:

    • Provide access to spaces for customers, unlocking and locking rooms as needed
    • Know emergency protocols and assist with emergency procedures when needed
    • Attend all scheduled student staff meetings and training sessions
    • Coordinate and manage event related details by providing onsite logistics support for all events in and around the Student Union, and in academic buildings as needed
    • Access event reports and use them to check and confirm accuracy before an event/meeting
    • Serve as the primary guest/customer relations representative
    • Complete and submit detailed end of shift report

          Event Monitor

          Position Description:

          The Event Monitor provides support to the Event Services Office through various duties and responsibilities, including supporting events in the Student Union and in academic buildings.

           Position Responsibilities:

          • Shifts will be a combination of regularly assigned shifts and specifically assigned event shifts based on a variable event schedule
          • The Event Monitor will follow the direction of the Event Managers for event-specific tasks as needed, and the Event Monitor will follow the direction of the Building Manager when the immediate supervisor is not present in the building

          Academic Classroom Monitor Role-Specific Responsibilities

          • Create/Customize an EMS student organization academic classroom reservation report and use to check utilization
          • Note physical hazards and issues and submit a work order through the Facilities application (Ex. graffiti, broken windows, a sheet of ice on the stairs, etc.)
          • Contact emergency personnel for any emergencies they may encounter
          • Create and submit and end of shift report

          Theater Usher Role-Specific Responsibilities

          • Greet and welcome patrons, offering directions and assistance for programs/events
          • During the program, monitor the exiting/entry of patrons for capacity and/or ticketing purposes
          • Make sure all customers are being respectful (i.e. not being loud) during the program
          • Between programs or movie showings in the theatre, help clear and clean the theatre
          • Create and submit and end of shift report

          Minimum Requirements:

          • Ability to follow the directions of peer leaders/student managers
          • Must be able to navigate to all spaces reserved by the Student Union, including, but not limited to, Student Union spaces, Academic Classroom spaces, Outdoor spaces, Residential Life spaces, and Hawley Armory spaces

            Student Reservationist

            Openings: None

            Position Overview:

            The Event Services Student Reservationist will be responsible for assisting customers with basic facility requests, inputting logistical information into EMS (Event Management Software), and receptionist and clerical duties.

            General Responsibilities:

            • Answering calls and directing callers to appropriate personnel and resources as needed
            • Greets patrons who visit the office with an open and friendly demeanor
            • Radio Student Union staff as necessary to support customer and office needs
            • Answer questions regarding the reservation process
            • Input meeting and event details into EMS
            • Verify that Student Organizations, University Departments, and External Clients (Vendors) have met all requirements for reserving the space
            • Attends weekly staff meetings and trainings as required
            • Completes various projects assigned by the Reservationist 

            Minimum Requirements:

            • Availability to work shifts between 8am and 5pm, Monday through Friday
            • Strong attention to detail

              Operations

              Building Manager

              Position Overview:

              The Student Union Building Managers are responsible for assisting the professional staff to provide oversight and leadership for the operation of the Student Union.  The Building Manager serves as the primary facility manager in the absence of the Building Services Manager and the Director.

              General Responsibilities:

              • Oversee the operations of the Student Union, a 220,000 sq. foot building in the absence of the full time professional staff.
              • Perform the duties of the Ambassador as needed.
              • Supervise and assist all student staff on duty; train and assist student staff in learning and performing daily requirements of the job
              • Respond to customer questions and concerns and manage problems/situations that arise during the shift.
              • Open and close the Student Union.
              • Assist maintenance staff with clearing and locking the Student Union at the end of the night
              • Confirm that assigned staff report to work and are at assigned locations on time; check in with staff that are working throughout the shift
              • Work directly with the Maintenance Staff to meet the needs of the customers of the Student Union
              • Review daily set up worksheet of events and meetings
              • Provide for building security and safety by patrolling on a consistent basis throughout the shift and respond to emergencies, calls for assistance, and complete incident reports
              • Work closely with public safety officials including police, fire, EMT’s, etc.
              • Maintain responsibility for cash operations and adherence to all cash handling protocols
              • Complete electronic Manager’s Report, noting anything that happens
              • Attend all mandatory meetings and training sessions
              • Perform related duties as required.

               Minimum Qualifications:

              • Understand the mission of the UConn Student Union and demonstrate willingness to assist in creating an environment which reflects the Student Union goals
              • Excellent interpersonal, oral, and written communication skills
              • Ability to work with and supervise peers
              • Ability to deal with difficult situations with a positive attitude and successfully resolve conflicts

                Game Room Attendant

                Openings: 1

                Position Description:

                The Game Room Attendant is responsible for enforcing all guidelines, policies and procedures of the Game Room. Other duties include keeping the Game Room clean and organized, maintaining a clean and organized workspace, cash management, signing out games to students, and taking game inventory.

                 General Responsibilities:

                • Monitor all patrons within the Game Room
                • Ensure all games are in working order; troubleshoot and report issues
                • Accurately and appropriately, manage cash
                • Communicate with patrons and appropriate staff
                • Assist in programming of special events in the Doug Bernstein Game Room

                Information Center Attendant

                Openings: None

                Position Overview:

                The Information Center Attendant position is responsible for providing information, directions and assistance to students, staff, faculty, and visitors. Other duties include providing general customer service including, distributing and collecting keys, record keeping, maintain Lost and Found, and sort/distribute mail.

                General Responsibilities:

                • Accurately and appropriately log information, keys, mail, or other items
                • Communicate with patrons and appropriate staff
                • Review event schedules and maintain a working knowledge of programs occurring in and around the Student Union

                • Proficient in Microsoft Office applications and internet search applications
                • Available to work nights and or weekends and maintain scheduled work hours

                Operations Office Assistant

                Openings: None

                Position Overview:

                The Office Assistant will assist with the general duties of the Student Union Operations Office.

                General Responsibilities:

                • Assists the administrative assistant with all operational functions as assigned including, photocopy, fax and scan documents and creates and edit forms and other documents
                • Cross-trains in other areas of department and assists as needed
                • Assists with maintaining department inventory
                • Attends mandatory trainings and staff meetings
                • Performs additional duties as directed

                 Minimum Qualifications:

                • Proficient in all Microsoft office applications
                • Must be available to work part time during regular business hours (Monday – Friday, 8am –5pm) during the academic year and maintain scheduled work hours

                Set-up Crew

                Position Overview:

                The Set-up Crew is responsible for providing program support to events in and around the union.   

                General Responsibilities:

                • Assist the Student Union Operations Unit with daily room setups
                • Handle all equipment and furniture with proper care and report any problems or damages immediately to the maintenance staff and building manager
                • Interpret daily setup worksheets and facilitate the proper arrangement of furniture and equipment in and around the Student Union as directed
                • Work as a team to perform room setups according to daily setup worksheets, event confirmation and necessary diagrams to insure details of all setups match those requested by the customer
                • Assist the maintenance staff with lifting, moving and setting up of office equipment, staging and other furniture and materials as needed
                • Attend mandatory trainings and staff meetings
                • Perform additional duties as directed

                Minimum Qualifications:

                • Ability to move a minimum of 60 pounds and crawl under staging
                • Have the flexibility to work a varying schedule including nights and weekends and maintain scheduled work hours

                Set-up Crew Supervisor

                Position Overview:

                The Student Setup Crew Supervisor is responsible for providing program support to events in and around the union.   

                General Responsibilities:

                • Assist the Student Union Operations Unit with daily room setups
                • Supervise, train, schedule/lead staff meetings, schedule staff based on setup demand
                • Handle all equipment and furniture with proper care and report any problems or damages immediately to the Maintenance Staff and Building Manager
                • Interpret daily setup worksheet, program/event confirmations and room diagrams
                • Oversee Setup Crew in the proper arrangement of furniture and equipment in and around the Student Union to insure details of all setups match those requested by customers
                • Assist the Maintenance Staff with lifting, moving and setting up office equipment, staging and other furniture and materials as needed
                • Clear and clean floors, tables and chairs; clean spills and stains, sweep and mop as needed
                • Attend all mandatory meetings and training sessions
                • Perform related duties as required
